Arrivals and departures

WINGS Jamboree 2026 takes place from Saturday 25 July to Saturday 1 August. 
Arrivals and departures will be one of the busiest moments of the week, and we ask all groups to follow the guidance below to help keep everyone safe and ensure a smooth start and finish to the WINGS experience. 

Arrival at WINGS 

Arrival day will be a lively and exciting welcome, as we open the gates to thousands of participants and their leaders from across the UK and beyond. To manage this safely and efficiently, arrival processes will be carefully marshalled and supported by our operations, security and event volunteers. 

Gates will open at 10am on arrival day, with arrivals staggered throughout the morning and early afternoon. This gives groups flexibility in their travel planning while ensuring everyone is settled in time for the opening ceremony. Please try not to arrive before your allotted time 

On arrival, vehicles will be directed into the designated drop-off and car parking areas by marshals. Groups with equipment to unload will be guided into a specific unloading queue.  

An arrival schedule will be circulated to all group leaders to stagger arrivals across a minimum 6-hour window on the first day. And a clear drop-off and departure rota will be communicated to all group leaders before the event. 

When you arrive, each group will be issued with one vehicle permit, allowing one vehicle at a time to access the main site for unloading equipment, subject to ground conditions. This permit will be issued as you queue, and can be swapped to your next vehicle once parked to allow that to enter the site and unload 

Vehicles with permits will be directed to their subcamp perimeter to unload equipment only. Please unload your vehicles as quickly as possible. For everyone’s safety, vehicles are not permitted to drive directly onto individual unit pitches, so please be prepared to unload and carry equipment to your allocated area. We strongly recommend bringing a trolley to make this easier. 

All personal luggage must be carried by individuals to subcamps. 

If your group has more than one vehicle, additional vehicles must remain in the drop off or car parking area until the permit is returned and transferred. Once unloading is complete, vehicles must return to the car park immediately and the permit handed back to the event volunteer marshals. 

Your subcamp team will be on hand to: 

  • Direct you to your pitch 
  • Confirm pitch boundaries and kitchen locations 
  • Support trailer movement and placement 

Trailers may be taken onto pitches if space allows, but cars are not permitted within subcamps. All trailers must be moved manually once off the vehicle. 

We MUST have the vehicle registration number for all cars parked on site, recorded on EMS by Friday 3rd July. Once parked, please display your car parking permit if your vehicle is remaining on site for the week, you will find a number of these in your event pack, more are available from event registration, and follow all marked walkways and marshal instructions to keep site movement safe for everyone. 

The final steps on arrival will be for a designated leader to head to the Registration Tent, where your group will be registered and provided with wristbands, so the adventure can begin! Your subcamp neckers and camp badges are to be collected at your subcamp hub.  

Please note young people will not be allowed on site during registration without a wristband and as part of an arriving group. Groups should enter the site as a group; any late comers will need to be met by a group leader so they can be issued their wrist band. 

All entry/exit to WINGS is via a unique QR code scanned at the gates. 

Departure from WINGS 

Departure day marks the end of an unforgettable week, and we ask all groups to work closely with their subcamp team to ensure a smooth and timely departure. 

All groups must vacate the site by midday on Saturday 1 August

Vehicle permits will again be issued by event volunteer marshals, allowing one vehicle at a time per group to access the subcamp perimeter for loading equipment, subject to site conditions. All personal belongings must be carried back to the car park by individuals. 

Before leaving, all pitches must be completely cleared, including any litter, equipment, decorations or waste.  

Everyone will have their unique QR codes scanned as they depart the site.  

Creating smooth arrivals and departures 

Arrival and departure are shared moments that set the tone for the whole event, and we’re grateful for your patience, cooperation and smiles as we welcome you to WINGS and send you home full of stories, memories and new friendships. 

Further arrival and departure timings will be confirmed closer to the event. 

Wristbands and subcamp neckers 

All participants and event volunteers will be issued with a wristband, they’re an important part of keeping WINGS safe and secure. Your wristband must be worn at all times for the duration of the event and must not be removed or tampered with. 

Whenever you leave or return to site: 

  • Your wristband must be scanned out and scanned back in at the main gate. 
  • This helps maintain an accurate record of who is on site at any time. 
  • If you are attending a planned offsite activity, you should follow the instructions provided by the Programme Team or your Subcamp Team regarding departure and return procedures. 

If you lose or damage your wristband, please visit the Information Desk. 

Subcamp neckers will also be allocated to everyone on site. These must be worn at all times to help identify participant groups, leaders and event volunteers.
